Oral Presentation Guidelines
Oral presentations are always accompanied by PowerPoint presentations. The speakers are entirely responsible for the presentation content (order, graphics etc…). All presentations and questions must be delivered in English. Time reserved for the presentation is:
- Trial presentation (Dragon’s Den session) 12 min + 3 min discussion
- Presentation 8 min + 2 min discussion
Please prepare your presentation preferably using up to date version of Microsoft PowerPoint, however older versions are also supported. Screens’ aspect ratio will be 16:9.
Please note that Apple Keynote and Prezi presentations are not supported and they have to be converted into PDF files.
When saving your final presentation to the USB stick do not forget to make sure to include your video files and all links to these multimedia files.
Depositing the File
Presentations must be handed over to the personnel in the SPEAKERS´ PREVIEW ROOM, with USB stick, as far in advance as possible and TWO hours before the start of the entire session, where the presentation is to be displayed. The presentation for an early morning session should be handed over the evening before.
SPEAKERS´ PREVIEW ROOM will be located Leeuwen Room II. clearly marked and will be available in following times:
- Monday, 9 September 8:00 – 18:00
- Wednesday, 9 October 8:00 - 18:00
- Thursday, 10 October 7:30 – 18:30
- Friday, 11 October 8:00 – 13:00
In the Lecture Room
All presentations will be sent directly to the lecture room through the internal computer network. Please, we kindly ask all authors NOT to come at the last minute with their own computer into the lecture room. All presentations must be downloaded in the SPEAKERS´PREVIEW ROOM beforehand.
Poster Dimensions, Mounting & Removing
The presenting authors are entirely responsible for the poster content (order, graphics etc…).
All posters must be delivered in English.
Kindly note the posters should not exceed the given dimensions, which are 120 x 90 cm, portrait orientation. Posters will be hanged on standard poster boards. The organiser will provide suitable fixing material. (Velcro)

Each poster board was given a specific number. Authors are kindly asked to make sure to mount their poster on the poster board with the number corresponding to the number assigned to their poster presentation (e. g. P 01, P 02 etc…).
- Friday, 11 October 11:30 – 13:00
Poster shall remain displayed within the whole meeting period and be removed by their authors at the end of the meeting. Posters left behind after 13:00, Friday 11 October will be discarded without notice. Organising committee is not responsible for any loss or damage to your poster if it is not removed by the notified time. Storage for poster cases is not available.
Journal Publication & Author Replacement
Please note that only abstracts presented onsite in Rotterdam will be published in the ESSO 39 abstract book (i.e. the January 2020 issue of EJSO-the European Journal of Surgical Oncology).
The title should be approximately 3in (7cm) high, with authors' names and affiliations in somewhat smaller print.
All text should be legible from a distance of approximately 5ft. Type size should be at least 24 points, in bold style. The typeface chosen should be a simple and clear one (e.g., Helvetica or Arial).
Color should be used sparingly, to provide contrast. The featured parts of the poster can be highlighted with warm colors, and the less important parts can be done in cool colors. Some suggestions for color combinations are as follows: Green on white, red on white, black on white, blue on white, white on blue, and white on black.
Illustrations should be simple and eye-catching, with unnecessary detail left out. If possible, convert tables to graphic displays. Pie graphs can be used to show parts of a whole, line graphs can be used to show trends or changing relationships, and bar graphs can be used to show volumes.
Photos should be enlarged enough to show relevant details.
Standard computer printouts do not work well on posters because the type size is too small and the lines are too thin to be seen from a distance.
Patient confidentiality must be protected. No names may appear in illustrations
Posters in the spotlight
All presentations and questions must be delivered in English. Time reserved to present your poster duration of 3 minutes (NO slides just the poster will be on the screen - there will be a "stage" with a large plasma screen set up in the poster area).
Following each presentation, the moderator of the session will facilitate a 2-minute Q&A period to encourage a challenging discussion between the presenter and the audience.
Please note that you also MUST send your poster electronically to email@example.com by the deadline of Wednesday, 2 October 2019. The file you submit will be shown on the screen during the Poster Spotlight session.
